MacRo, Ltd., a commercial real estate company based in Frederick County, Maryland, has three highly dynamic sales representatives and is seeking a full-time Office Manager who can perform administrative, accounting, marketing, and property management functions. This is a fully charged position that will work independently while reporting directly to the President and Vice President of the company. The incumbent will regularly interact with clients, tenants, outside vendors, and suppliers and participate as a team member with all staff. The incumbent will problem-solve and make day-to-day decisions necessary to effectively ensure the smooth operation of the four primary areas of responsibility. Position Requirements:
Associate's degree in Business Administration, Marketing, Finance, or Information Systems required. Bachelor's degree preferred. 3+ years of experience in a business or corporate environment handling multiple tasks and diverse interactions is required. Experience in a real estate business environment is preferred. Excellent interpersonal and communication skills and proactive and self-starter.

accounting
Prepare accurate financial statements in accordance with GAAP (Generally Accepted Accounting Principles). Cash flow management, managing bank transactions, preparing bank reconciliations, accounts payable, accounts receivable, working with external payroll services to ensure accurate payroll and fee payments, preparing year end 1099s and 1096s, maintaining corporate and health plan accountability and record keeping requirements, creating annual budgets and maintaining revenues/expenses relative to the budget, preparing year end closings by reporting financials to an external CPA firm.
Office Management
Answer all incoming calls and direct them accordingly Maintain a master active customer list Prepare agendas for staff meetings Maintain and organize files and records Manage insurance certificates for outside contractors Maintain database management and compilation of additional data Manage/maintain the accounting system and other office IT functions Order general and office supplies Oversee daily office operations Track agent license expiration dates and keep records of and alert agents of continuing education requirements

Ordering/managing for sale/lease signs Creating and managing real estate brochures Managing properties listed on the website, multiple listing service, and other commercial listing sites Writing deals for the website Preparing advertisements for outside sources (such as lifestyle magazines) Preparing blog posts for the website Preparing a weekly featured property e-newsletter Preparing a weekly blog e-newsletter Collecting data and preparing reports on previous sales and lease transactions Overseeing all processes for newsletter production and other direct mailings
Property Management – For individual property owners
Establish and maintain relationships with residents and key personnel Manage ongoing communication with residents and contractors Identify, analyze and resolve property issues and communicate with appropriate contractors Manage contractors for maintenance projects Prepare accurate financial statements in accordance with GAAP (Generally Accepted Accounting Principles) Manage cash flow Manage bank transactions and prepare bank reconciliations Accounts Payable Accounts Receivable Prepare annual budgets and CAM reconciliations for property owner approval and communicate final reports to residents Maintain and organize files and records Manage insurance policies for outside contractors and each resident
